Our client, a global blue chip company, is looking for a Korean speaking Executive Assistant who will perform diverse and complex administrative duties
[Key Responsibilities]
(1) Diary, Meeting and Event Management
- Based on the instructions of President complete diary management including organising meetings/conferences, collating documentation for meetings and presentations.
- Agreeing/consulting diary managements with related departments, European Headquarter and Global Headquarter.
- Tracking the schedules of Senior Management who directly report to the President.
- Taking a forward-thinking approach to calendar management, task prioritisation and logistical organisation.
- Co-ordinate complex and/or critical events & meetings, making all necessary arrangements, preparing advance documentation and ensuring appropriate recording and follow-up of actions.
(2) Communication
- Communicates up and down, inside and outside the organisation by using appropriate means. Draft speeches and correspondence for President, ensuring effective communication.
- General Administrative Duties
- Answering queries directed to President’s Office and taking appropriate actions.
- Prioritise, acknowledge and distribute correspondence.
- Meeting and greeting visitors and guests, arranging refreshments etc.
- Arranging travel and accommodation and booking hospitality.
- Liaising with internal and external clients and customers via telephone, fax and email.
- Daily administration and maintenance of office facilities.
- Processing business expense claims and managing budgets.
- Implementation/management of effective filing systems.
- Proactive in maintenance of 1st records and updating computer and file records.
- Handling President’s HR matters.
- Producing print-outs of regular reports
- Supporting General Affairs’ tasks and activities as a team member
(3) General
- Adherence to all company policies and procedures.
- Adherence to compliance and other legal regulatory processes
- Any additional ad-hoc duties as requested by the President.
[Requirements]
(1) Must be fluent in both Korean & English
(2) Good overview of the commercial process
(3) Ability to work assertively in a cross functional environment and attain consensus between all parties
(4) Strong analytical skills
(5) Logical common sense and proactive approach to business
(6) Excellent communication skills
(7) Excellent MS Office(especially Excel) skills
[Conditions]
(1) Job location: Weybridge, Surrey (on-site car park & free shuttle from/to Weybridge rail station)
(2) Job type: full-time & 1 year contract & hybrid(1 day work from home after probation)
(3) Hours of work: 37.5 hour per week (some overtime work may be required for emergencies and projects)
(4) Annual basic salary: up to 40K (depending on experience)
(5) Bonus, pension, life assurance, private healthcare, car allowance, etc.
(6) Annual leave: 33 (25 holidays + 8 bank holidays)
